The PDF format remains the most reliable for maintaining a stable layout from one printer to another, regardless of the operating system used.
Paper weight and lamination: what makes the tag durable
The first instinct after downloading a template is to print it on standard office paper. The result rarely lasts more than one trip. The ink smudges at the first contact with moisture, and the paper tears as soon as it rubs against a baggage carousel.

To achieve a manipulation-resistant tag, the choice of material is as important as the design. Cardstock, significantly thicker than regular paper, withstands friction better. When combined with a thermal lamination pouch, it can endure rain, splashes, and repeated conveyor handling.

No regulation requires indicating the flight number or final destination. This information changes with each trip and complicates readability. A minimalist PDF template with three lines is sufficient to meet the requirements of airlines and rail companies.
PDF format and layout: avoiding printing errors
The PDF format preserves dimensions, fonts, and margins as they were designed. A Word file or a JPEG image, on the other hand, resizes according to each printer’s default settings, resulting in truncated or distorted tags.
Before starting the print, two settings deserve a check:
- The “Fit to Page” or “Scaling” option should be turned off to keep the dimensions true to the original template
- The print mode should be set to “Actual Size” (or “100%”), otherwise the text shrinks and becomes unreadable from a distance
- Choosing pure black for the text ensures maximum contrast, while light colors quickly fade under the effects of light and moisture

On a plane, some airlines offer a printed tag service at home during online check-in. Air France, for example, allows editing a tag at the time of boarding pass issuance. However, Lufthansa confirmed in 2023 that its “Home Printed Bag Tags” service remains limited to very specific routes and airports, with a higher error rate than with thermal IATA tags issued at the counter.
For train travel (SNCF, Eurostar), no digital tag is required. A standard paper tag with name and phone number remains the norm. The business card format (approximately 85 x 55 mm) fits perfectly and slides into most commercially available tag holders.
Labeling a parcel or shipped luggage
Shipping luggage via a carrier (luggage delivery service, postal sending) follows different rules. The recipient’s full address is mandatory this time, including postal code and country. The barcode or QR code generated by the carrier replaces the personal tag: both must be affixed, with the carrier’s tag taking priority in case of conflicting information.
A PDF template designed for air or train travel is not suitable for shipping. The fields differ, as does the recommended size. It is better to use the template provided by the delivery service and reserve the minimalist PDF for luggage transported in the cabin or in standard hold.
The most useful tag is one that can be read in a second, on a crowded conveyor belt or in a cramped train car. Three lines, sturdy paper, black text on a light background: the rest is superfluous.
